Privacy at Trace & Tone
We are The Sensory Collective, known as Trace & Tone, located at Dagelijkse Groenmarkt 31, 2513 AL in The Hague and registered with the Dutch Chamber of Commerce under number 42193461. We create sensory identities for commercial spaces. Along the way we sometimes handle information about people. This page explains what we do with it. Questions are welcome at info@traceandtone.com.
What we use and why
When you fill in the request form, we receive your name, your email address, your company name, your phone number if you include it in your message and your message. We use these to reply and to prepare a conversation or a proposal. That is the step before a possible agreement.
If you sign up with Retrobada to hear when the fragrances are available, we keep only your email address. We send you that one message and delete your address afterwards, at the latest twelve months after you signed up. We do this because you give us your consent. You can withdraw it at any time by emailing info@traceandtone.com.
When you become a client, we keep the contact details of the people we work with, the details of the agreement and our correspondence. We need these to run the subscription and to look after the diffusers and programmes.
We sometimes approach businesses we think would suit our work. For this we only use contact details the business has published itself, such as on its own website. We do this on the basis of our legitimate interest in making our work known. If you would rather we did not, one message is enough and we delete your details.
When designing an identity for a location, we look at public information about that place, including online reviews. We keep only a summary about the place itself and no names of the people who wrote the reviews.
For our bookkeeping we keep invoice details. This is required by law.
Now and then we send clients and contacts we have spoken with before a note about new programmes. Every message tells you how to unsubscribe.
How long
Request form details are kept for six months if nothing follows. Details of businesses we approach are kept for twelve months after the last contact. Client details are kept during the agreement and for two years after it ends. Invoice details are kept for seven years, as Dutch law requires.
Who we share with
We do not sell information and do not share it with advertisers. We do rely on other companies to do our work: Netlify for this website and the form, Railway for the application in which we keep our files, Hostnet for email and domains, Apple iCloud for documents and Anthropic for help with writing and analysing texts. We have agreements with these companies on protecting your information. Some of them are based outside the European Union; in that case the standard contractual clauses of the European Commission apply.
Cookies and counting visits
This website places no cookies. We do count visits, with our own counter in our application: which pages are viewed, for how long and how far, on what kind of device and in which language, where visitors come from, whether they click a contact link and whether they send a form. We store no IP address and the counter puts nothing in your browser. Your browser does remember your language choice; that stays on your own device. To count the visits of one day, we turn your address and browser into a code using a key that is destroyed every day. After that the code can no longer be traced back to you, not even by us. We count the same way on the-sensory-collective.com and retrobada.com. We keep the counts for just over a year. That is why we do not ask you to accept cookies.
Your rights
You may ask us which information we hold about you, have it corrected or deleted, restrict its use, receive it in a readable file and object to its use for our own messages. An email to info@traceandtone.com is enough. We reply within one month.
If you are unhappy with how we handle your information, you can lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens). We would rather hear from you first so we can put it right.
Changes
If our way of working changes, we update this page. The date below shows when that last happened.
